Before You Start

You'll need:

  • Vagaro account with webhook access (may require add-on)
  • Velocity Review account
  • Google Business Profile review link

Set Up Your Business Profile

Complete your business information and add your Google review link.

Google Business Link Format

Your link must follow one of these formats:

or
https://g.page/r/<ID>/review

Create Vagaro Webhook

Quick Setup Available

One-click setup automatically configures field mapping and send conditions.

  1. Go to Dashboard → Webhooks
  2. Click "New Webhook"
  3. Enter a name (e.g., "Vagaro Integration")
  4. Select "Vagaro" as the source system
  5. Click "Complete Vagaro Setup" — this auto-configures everything

Create or edit your message templates so review requests are ready to send.

Configure in Vagaro

Copy the webhook URLs from Velocity Review, then in Vagaro:

  1. Go to Settings → Developers → APIs & Webhooks

    Note: Webhook access may require a Vagaro add-on (~$10/month)

    If you don't see this option, contact Vagaro support to enable it.

  2. Create two webhook entries using the URLs from Velocity Review:
    • Customers: Use the create-client URL
    • Transactions: Use the send-review-request URL
  3. Select events: Appointment Completed or Service Transaction
  4. Save your configuration

Important Notes

  • Client Syncing: Update existing clients in Vagaro with a new tag to trigger initial sync
  • Charged Cancellations: These will send review requests — cancel them manually if needed
  • Services Only: Review requests are sent for 'Service' purchases, not products

Test & Activate

If you used Quick Setup, your webhook is already activated. Otherwise:

  1. Use the "Test" button in Velocity Review to verify configuration
  2. Enter your own email/phone to receive a test review request
  3. Verify the client was created and request was sent correctly
  4. Click "Activate" when ready

Auto-Send is Disabled

For Vagaro, review requests are sent via the send-review-request URL when transactions occur, giving you more control.

Troubleshooting

No customers created: Check field mapping and ensure email or phone is extracted.

No webhook received: Verify URL in Vagaro and test with a sample event.

Reviews not sending: Confirm Vagaro is sending to the send-review-request URL.

Test executed live: The Test button performs real actions — use sample data first.
